A large mailbox makes both Eudora and WebMail work very slowly, and can also cause problems for other users. This is fine, except that with the amount of mail that we now get (wanted and unwanted) the mailbox very soon grows very large. This can be done by telling Eudora to "leave mail on server", while in WebMail if you do nothing the messages will be left in the mailbox on the mail server (called the INBOX). The diagram shows that as long as your messages are not moved from your mailbox on the mail server they can be seen by Eudora (whether at home or in the office) and also by WebMail, but as soon as they are moved out of the mailbox by one program they are lost from view so far as the other program is concerned.The solution often adopted is not to move the messages out of the mailbox on the mail server. It is unlikely that members of staff, who are accustomed to storing their messages on desktop computers with Gigabytes of empty space, will be able to work within this constraint. Most students use WebMail and most of them manage within this quota. At present the default disk quota is 20 Megabytes. Although our servers have much larger disks than in the recent past, they are not infinite, and if all members of staff decided to move to IMAP at once we should be embarrassed. You might ask the Helpdesk for a further increase in quota, and as our disk capacity grows the Helpdesk will be more able to grant such extensions, but there will come a time when you will have to take the other sort of action, and reduce your demands. The action you take might be to delete and purge messages from your mail folders, to move older folders down to your local hard disk (see below) or to delete other files from your home directory. If you use your home directory for storing any other files, your IMAP folders will be competing for space with those other files. You need to keep an eye on your disk quota and take action if you are approaching the limit - if you don't, if you allow yourself to go over quota, you will encounter severe problems. Local versus IMAP foldersHowever much your quota is increased the space available for your mail folders will not approach the space you have on your desktop PC or Mac. So keeping your mailbox small is that much more crucial with IMAP than with POP. With an IMAP mail client these timeout errors are likely to occur at an earlier stage, that is with a less large mailbox, than with a POP client, and also with IMAP the errors are likely to be fatal, causing your mail program to crash or freeze. If that happens you can, if necessary, go on reading messages that have previously been downloaded, and you can send mail. If you are using a POP mail client a large mailbox will slow things down and you may find that you get timeout errors when checking mail. Delete or file your messages.
